This Privacy Policy explains how BTMH Pty Ltd trading as Business Tax & Money House (“BTMH”, “we”, “us” or “our”) collects, uses, discloses and protects personal information – both when you use this website and when you engage us for accounting, taxation and advisory services. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

If you are a client, your letter of engagement also governs how we handle the information in your client file. Where the two are inconsistent, the letter of engagement applies to the extent the law allows.

2. Information We Collect

Information you give us

  • Enquiries. When you use our contact form we collect your name, email address and message, and whether you asked to subscribe to our newsletter.
  • Newsletter. When you sign up we collect your email address and, if you give it, your name.
  • Live chat. The messages you type, and any name, email address or other details you choose to share in the chat.
  • Appointments and new-client forms. The details you enter when you book online or complete our new-client form.
  • Client services. When you engage us: contact details (name, email, phone, postal address), identification documents we need to verify your identity, your tax file number, and the financial, taxation, business, superannuation and employment information needed for your engagement. This can include information about other people connected to your affairs, such as a spouse, dependants, business partners, directors, trustees, beneficiaries or employees.

We do not ask for sensitive information (such as health information) through this website. If sensitive information is relevant to your engagement – for example, to claim a tax deduction or offset – we collect it only with your consent or where the law permits.

Information from other sources

With your authority, or where the law permits, we may collect information about you from the Australian Taxation Office and other government agencies, public registers (such as those kept by ASIC and the Australian Business Register), your previous accountant, and other advisers or institutions acting for you, such as your bank, financial adviser or lawyer.

Information collected automatically

When you visit this website, some information is collected automatically, such as:

  • your IP address and approximate location derived from it
  • browser name and version, operating system and device type
  • the website that referred you, the pages you view, and when and for how long
  • your time zone and language settings
  • how the website performs for you, such as page load times

Much of this is collected through cookies and similar technologies, including by the third-party services described in sections 4 and 5. When combined with other information – for example, if you are logged in to Facebook – some of it can identify you.

Dealing with us anonymously

You can browse this website without telling us who you are, and you may make a general enquiry without giving your full name. We cannot, however, provide accounting or tax services without identifying you.

3. How We Use Your Information

  • to provide the accounting, tax and advisory services you engage us for
  • to verify your identity and meet our legal, regulatory and professional obligations
  • to respond to your enquiries and communicate with you
  • to send you our newsletter, if you have subscribed
  • to tell you about services we believe may be of use to you (you can opt out at any time – see section 10)
  • to understand how visitors use this website, identify the articles and topics that are most useful, and improve our content and services
  • to measure and improve our advertising, including on social media platforms such as Facebook and Instagram
  • to protect this website and our forms from spam and abuse

We collect, use and disclose tax file numbers only as permitted by taxation law and the Privacy (Tax File Number) Rule 2015.

4. Our Website Forms, Chat and Newsletter

Contact form enquiries

Enquiries sent through our contact form, and newsletter signups made on this website, are processed and stored using Amazon Web Services (AWS) in its Sydney, Australia region. AWS also sends each enquiry to our team by email, so it will also be held in our email system. Please do not include your tax file number, bank details or other sensitive information in the contact form or live chat – we will arrange a secure way to receive them.

Spam protection

To limit spam, each time a form is submitted we record a one-way hash of your IP address (a scrambled code, not the address itself), along with your browser type, the website the submission came from, and whether it was accepted. We use this only to limit repeated submissions and detect spam, and we delete these records after 30 days.

When you subscribe to our newsletter, we keep the same hash, together with the time and the place on our website where you signed up, with your subscription record as evidence of your consent.

Google reCAPTCHA

Our contact form is protected by Google reCAPTCHA v3, which helps tell genuine visitors from automated spam. To do this, reCAPTCHA collects information about your device and how you interact with the page and sends it to Google. This site is protected by reCAPTCHA and the Google Privacy Policy and Terms of Service apply.

Newsletter (Mailchimp)

We send our newsletter using Mailchimp, a service operated by Intuit Inc. in the United States. If you subscribe, your email address (and your name, if you give it) is sent to Mailchimp so it can deliver the newsletter. Every newsletter includes an unsubscribe link. Live chat (Tawk.to)

Our live chat is provided by Tawk.to. When you use it, your messages and any details you share, along with technical information such as your IP address, browser and the pages you are viewing, are processed and stored by Tawk.to so that we can reply to you. See the Tawk.to Privacy Policy.

5. Cookies and Similar Technologies

A cookie is a small text file a website saves in your browser so it can recognise your browser later. Similar technologies, such as tracking pixels and local storage, work in much the same way. This website, and the services below, use them for the following purposes.

  • Google Analytics 4 (Google) – website usage statistics: which pages are visited, how visitors arrive, and roughly where they are and what devices they use. We see this information in aggregate. See How Google uses information from sites that use its services.
  • Meta Pixel (Meta Platforms) – advertising measurement and audiences. It records visits and actions on this website so we can measure how our Facebook and Instagram advertising performs and show our ads to people who have visited this website, or to people like them. Meta may link this information to your Facebook or Instagram account. See the Meta Privacy Policy.
  • Tawk.to – keeps your chat conversation going as you move between pages and recognises returning chat visitors.
  • Google reCAPTCHA – on our contact page, to help detect spam and abuse.

Controlling cookies

Google Analytics and the Meta Pixel load only if you accept cookies when this website first asks. If you decline, or do not choose, neither of them runs. You can change your choice at any time with Cookie settings at the bottom of any page. Tawk.to and Google reCAPTCHA are needed for the live chat and to protect our contact form, so that choice does not affect them. You can also control cookies yourself:

  • Browser settings. Most browsers let you view, delete and block cookies, or block only third-party cookies. Blocking cookies may stop parts of the website, such as live chat, from working properly.
  • Google Analytics. Install the Google Analytics Opt-out Browser Add-on to stop Google Analytics collecting information about your visits to any website.
  • Meta advertising. Use your Meta ad preferences to control how activity from websites like ours is used to show you ads.

6. Who We Share Your Information With

We do not sell your personal information. We may disclose it to:

  • the Australian Taxation Office and other government and regulatory agencies, when you ask us to act for you or where required or authorised by law
  • service providers who help us run our business and this website, including those named in sections 4 and 5, and providers of IT, cloud hosting, software and email services
  • your other advisers or institutions, such as your bank, financial adviser or lawyer, with your consent
  • our related entities
  • marketing consultants and other professional advisers
  • an organisation that acquires, or proposes to acquire, all or part of our business
  • anyone else where you have consented or where required or authorised by law

7. Overseas Disclosure

We store the personal information we hold in Australia. Some of the services described in this policy are run from overseas, so information given to them is disclosed outside Australia:

  • Mailchimp – newsletter subscribers’ email addresses and names are sent to Mailchimp in the United States.
  • Google (Analytics and reCAPTCHA), Meta (Pixel) and Tawk.to (live chat) – information collected by these services may be processed and stored outside Australia, including in the United States.

Where a provider does not publish where it holds information, we treat it as possibly overseas. Where we disclose personal information overseas, we take reasonable steps to ensure the recipient handles it in a way that is consistent with the APPs.

8. Keeping Your Information Secure

We take reasonable physical, electronic and administrative steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. This website uses an encrypted (HTTPS) connection for information passing between your browser and our servers. No transmission over the internet can be guaranteed to be completely secure, however, and some risks are beyond our control.

We keep personal information only for as long as we need it for the purposes described in this policy and to meet our legal and professional record-keeping obligations. After that, we take reasonable steps to destroy it or de-identify it.

Newsletter subscriptions have no fixed end date: we keep your address while you are subscribed, together with the record of when and how you subscribed. If you unsubscribe we stop sending you the newsletter and keep a record of the unsubscribe, so that you are not added again by mistake.

If a data breach involving your personal information is likely to result in serious harm to you, we will notify you and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme.

9. Accessing and Correcting Your Information

You can ask for access to the personal information we hold about you by contacting us (see section 15). We will need to verify your identity first. We do not charge you for making a request, but we may charge a reasonable fee to cover the cost of providing access; we will tell you the cost before we proceed.

In limited circumstances the Privacy Act allows us to refuse access. If we do, we will tell you why in writing.

If you believe information we hold about you is inaccurate, out of date, incomplete or misleading, please contact us and we will take reasonable steps to correct it.

10. Marketing and Opting Out

You can stop receiving marketing from us at any time:

  • by using the unsubscribe link in any of our emails
  • by unfollowing or disconnecting from our social media accounts
  • by contacting us

If you are a client, we may still contact you about your engagement after you opt out of marketing.

11. Visitors in the European Union

Some of our visitors are in Poland and elsewhere in the European Union. Where the EU General Data Protection Regulation (GDPR) applies to our handling of your personal information, you may have additional rights, such as to request erasure of your information, to restrict or object to its processing, to receive a copy in a portable format, and to withdraw consent you have given. To exercise these rights, contact us and we will respond in accordance with the law that applies. You may also complain to your local data protection authority – in Poland, the President of the Personal Data Protection Office (UODO).

12. Children

This website is intended for adults. We do not knowingly use it to collect information from, or market to, anyone under 18. If you are under 18, please ask a parent or guardian before contacting us through this website.

13. External Links

This website links to websites we do not control, including our online booking providers, our new-client form provider, social media platforms, and partner organisations. Those websites have their own privacy policies, and we are not responsible for how they handle your information. Please check their policies before giving them personal information.

14. Complaints

If you have a concern about how we have handled your personal information, please contact us in writing first, through our contact form or by post (see section 15). Include your name and contact details and a clear description of your concern. We will acknowledge your complaint and respond within a reasonable time.

If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner: visit www.oaic.gov.au or call 1300 363 992.

We may update this Privacy Policy from time to time, for example when we change the services we use. The current version will always be published on this page, with the date it was last updated shown at the top.
